Define the event you are asking for
There is a practical difference between eight colleagues booking ordinary starts and a hosted outing with contests, meals, scoring and sponsors. Write down which one you need. Carl can search supported public tee sheets; it cannot turn visible starts into a tournament package or quote a shotgun start.
For a course-managed event, send the likely golfer count, non-golfing attendees, acceptable dates, desired start format and budget. Say which elements are essential and which can be removed. That gives the operator room to answer with a real proposal rather than a vague promise to accommodate the group.
Choose venues with an actual inquiry route
TPC Scottsdale publishes a golf-outings proposal process. Grayhawk has a group-golf and tournament offering for twelve or more. Silverado publishes a group-event inquiry form. Start with those official routes when the requirement goes beyond ordinary public starts.
The existence of an event page does not establish availability on your date, a minimum size, a flat package price or a guaranteed shotgun format. Request those details directly. Keep your shortlist tied to the operator’s current response rather than a third-party package description.
Ask for the commitments that affect the organizer
Get the written total and inclusions, deposit and final-balance schedule, final-headcount deadline, cancellation terms and handling of no-shows. Ask who is responsible for rentals, food and prizes. A per-golfer green fee is not a complete event budget.
Confirm how non-golfers will be accommodated if they are part of the meeting or meal. Ask about the operator’s event staffing and how check-in, pairings and scoring will work. Those questions belong to the proposal, not to a promise in Carl’s public-course search reply.
Use the right shared document at each stage
Before the course confirms the event, share a brief: scope, dates, golfer count and required services. If the plan is ordinary multiple-start golf, Carl can share checked online options with assigned golfers, fee labels and check time. Treat that link as an expiring comparison, not confirmation of an event.
After the operator accepts the plan, build pairings around the confirmed format and starts. The outing planner can help with a proposed tee sheet. The course must approve any shotgun layout; printing starting holes cannot create permission to use them. Send attendees one final instruction set after the operator’s details are settled.
