Sixteen golfers can turn a short trip into a full-time planning job. Separate the decision about the round from the jobs of booking, pairings and transport.

Make one person own the course conversation

Four starts for sixteen is a minimum, not a complete trip plan. Choose one organizer to talk to the course and one person to collect commitments. Give them an agreed fee ceiling and acceptable start window so they do not have to run a fresh poll for every reply.

Keep the first decision narrow: can everyone accept this date, this course area and this budget? After that, choose the layout. Four neighboring times on different layouts do not keep the group together, and a common clubhouse does not make the departures interchangeable.

Read the first-to-last span

The useful number beside a four-start option is the time between the first and last departure. At an illustrative ten-minute gap, four starts span thirty minutes. That is planning arithmetic, not a claim that any particular course uses that interval or has those starts available.

Carl shows the actual observed start times and their span. If the requested window ends at 11am, every selected start must fit inside it. A block that begins before 11 but sends the fourth group later does not satisfy that request. Expand the window deliberately rather than burying the change in the pairings sheet.

Keep the course quote separate from the group chat

Grayhawk publishes a group process for twelve or more. TPC Scottsdale accepts golf-outing event proposals. For sixteen, use a written operator response to settle the full block, payment, headcount deadline and any extras. A standard public price does not quote food, scoring or an event format.

Share the course options with the group before committing. Carl’s checked link records the date, assigned golfers and advertised fees, and expires after 24 hours. It is useful for choosing; it cannot guarantee that four public starts will still be there when four different people open checkout.

Book first, build the tee sheet second

Once the course confirms the starts, make the pairings. Decide whether the priority is mixing friends, balancing handicaps or keeping travel companions together. Do not promise everyone a shared finish time: departure order, pace and the operator’s format determine how the day unfolds.

Confirm pickup arrangements against the real course address and meeting instructions. Then send one final plan with the booked times, named layout, organizer contact and course terms. Changes to the golfer count belong with the course before they become edits to a printed tee sheet.
